Under the direction of the Controller, the Part –Time Accountant is primarily responsible for coordinating and/or performing all accounting functions for one affiliate, and secondarily offering assistance as needed on six to ten other affiliates. Responsibilities, including supervising the bi-weekly payroll, coordinating weekly check runs, preparing monthly cash and other reconciliations, generating monthly financial statements, maintaining expense allocation system to facilitate preparation of recurring reports required by the State of New York grant agreements, coordinating year-end audit and preparation of 990. This position will also work with Controller to establish proper internal control procedures for these accounting functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Set up affiliate in Solomon accounting system.
· Be the lead person with the affiliate, training the affiliate on procedures for transmitting accounting information, and communicating with affiliate on a regular basis to make sure that all accounting activity is being properly recorded and presented.
· Set up affiliate in our payroll system, and generate bi-weekly pay-checks based on information and time-sheets received from affiliate.
· Arrange for weekly payment of checks, based on invoices sent electronically to our office.
· Arrange for proper coding and signatures.
· Record all account activity into Solomon, including cash receipts.
· Reconcile all balance sheet accounts at month-end, and prepare monthly financial statements for affiliate use, using FRX drill-down.
· Review financial statements and management reports and make recommendations to management based on the information contained therein.
· At year-end, arrange for the affiliate to be audited, and provide auditors with all relevant information.
· Provide all information to auditors for preparation of an IRS Form 990.
· Create and maintain allocation system suitable for preparation of recurring reports required by the State of New York and other internal reporting needs.
· Prepare all reports required under the grant agreements for the State of New York.
· Performs related work as required.
SUPERVISORY RESPONSIBLITIES:
The Affiliate Accountant has some supervisory responsibility over the payroll accountant and the accounting assistant.
EDUCATION/EXPERIENCE:
- Bachelor’s degree in Accounting or equivalent experience.
- At least five years experience in nonprofit accounting, including financial and management reporting.
- CPA highly preferred but not required.
- Prior experience in providing bookkeeping and accounting services in a distributed, nationwide, environment a significant plus.
SPECIFIC KNOWLEDGE, SKILLS, ABILITIES, LICENSES, CERTIFICATIONS, ETC:
· Knowledge of general accepted accounting practices.
· Windows based accounting software and Microsoft Office (especially Excel).
· Be available to prepare reconciliation, and answer affiliate questions.
· May be required to travel occasionally to train affiliate staff and address affiliate Board of Directors. |
